Scheduling

Appointments

Please plan to arrive 10 minutes or more before your scheduled appointment to complete any paperwork. A parent or legal guardian (with official documentation) must be present in the office during the initial examination and/or any filling appointments.

Cancellations

Our office understands that cancellations are sometimes unavoidable. We request you call at least 24 hours in advance to avoid a possible late call in fee of $25.00. Our hope is that with an early cancellation call we have an opportunity to offer that time to another patient.

 

Fees & Policies

Fees

During the initial consult appointment with Dr. Chen, we will provide you with an estimate of the cost of orthodontic treatment. Jane, our financial specialist, will be able to accurately determine your out of pocket costs and what your insurance will cover.

Payment Policies

We accept cash, personal checks, MasterCard, or Visa. A payment in full will receive a 5% discount on the total treatment.

In the unlikely event that your check is returned for insufficient (EFT) funds, our office will charge a returned check fee that will include bank and administrative fees as a result of the bank’s actions. Returned checks must be paid at the time you are notified and must include the assessed fees. Please contact our office administrator for further information.

Insurance

When scheduling your appointment, please let us know your insurance information and bring the information with you for your appointment. We recommend that you contact your insurance company ahead of time to make sure you understand your dental coverage.

We are happy to help with handling insurance claims and answering your insurance questions. We work with many major insurance carriers. Unfortunately, there are currently no dental insurance plans that cover comprehensively. Please expect that if most dental insurance covers will cover some portion of your or your child’s treatment costs. The remaining will be your responsibility. If you have dental insurance, we will work with you and your insurance company to obtain the benefit. We submit claims for many carriers and, if possible, accept assignment of benefits. Any unpaid insurance balance will be your responsibility at the time of service. Our policies remain the same for both insured and uninsured patients.

 

Emergencies

What to do in case of an orthodontic emergency?

When an orthodontic emergency occurs, please contact us as soon as safely possible. Our office is open Tuesday through Saturday every week to assist you in the event there is an orthodontic emergency. During office hours our staff will try to accommodate you into our schedule to help address your orthodontic emergency. Should an emergency occur not during our office hours, we have an emergency number you can reach to help you with your emergency. Please call our office ahead of time to allow us the time needed to address your concerns.

What happens when a bracket or band is loose?

Broken brackets and bands can occur during your treatment. It is very important to notify us when it does happen, so we can accommodate you into our schedule to take care of the issue. If possible, please bring the broken brace or band to your appointment. Please call our staff when this occurs so we can provide you with the best advice in the event you cannot come in or to schedule a time for you to come to the office to address the broken brace.

What happens when a wire is poking my cheeks?

As your teeth become straighter, the wire holding your teeth in position may extend beyond your braces. When this happens, the wire can cause some irritation to your checks. You can cover the long wire by putting wax or a piece of cotton at the end of it. In some cases, you can use a nail clipper to cut the wire shorter, before using the nail clipper you should sterilize it with some alcohol. If you cannot resolve the problem please contact us so we can help you.
